Setting the hours people can book

Your weekly pattern, the dates that replace it, and the time zone your hours are written in.

Last updated

Availability, one of the tabs under Bookings, is where you say when you work. Every booking link offers times inside these hours and never outside them.

You do not start from nothing. Your first schedule is an ordinary working week, Monday to Friday, and it is live from the moment you have a booking link, so the job here is usually adjusting rather than building. If you have never looked at it, the screen says so and offers These hours are right to stop it asking.

The weekly pattern

The Hours tab holds two panels side by side.

Weekly hours is the pattern your links offer every week. Each day has a switch and a start and end time. Turn off a day you never take meetings on. Add a second range to a day where you break for lunch, so nobody books you across it.

Date overrides is for the exceptions. A date override replaces the weekly hours for one day: it does not add to them. Use it for a day off, a bank holiday, or a morning you are in court and an afternoon you are not. Add the date, then either leave it closed or give it the hours you will actually keep.

Changes are saved from the bar at the foot of the screen. Your booking pages use them from the next visit.

Your time zone

On the Schedule settings tab, Timezone is the zone your hours are written in. It is not your client's zone: the booking page always shows them their own local times, whichever they are in.

Changing it moves your hours rather than converting them. Nine in the morning stays nine in the morning, but it becomes nine in the new zone, which is a different moment. The screen works out what that means in hours and shows you before you save, so you can check it against your own clock.

If you have moved, change it. If you are simply travelling for a fortnight, use date overrides instead and leave the zone where your working week actually is.

Naming it

Name on the same tab is your own label for this set of hours. It appears when you choose a schedule on a booking link and nowhere a client can see.

What is set somewhere else

The panel at the foot of Schedule settings names the two things people look for here and do not find:

Nobody else edits these

Your hours are yours. There is no filter on this screen for a colleague's, because working hours are set by the person who works them. An owner or an admin who needs to change somebody's cover arrangements does it by sharing the diary, not by editing the hours. See Letting a colleague see your diary.

If the screen says you have no hours yet

Press Set up my hours. You get an ordinary working week to adjust, and your booking links can start offering times.
