Booking emails and reminders

What goes out when a meeting is booked, moved, cancelled or coming up tomorrow, and to whom.

Every booking sends email of its own accord. Nobody has to remember to confirm anything, and nobody has to chase.

What goes out, and when

Every one of them carries the meeting, the time in the reader's own zone, how long it runs, who it is with, and the answers your client gave on the booking form. They carry your logo and your brand colour, the same ones on your signing pages.

The reminder

It goes out the morning before the meeting, so an appointment tomorrow is chased today. A meeting booked at short notice, less than half a day before it starts, gets no reminder: the confirmation went out an hour ago and a second email would be noise.

There is one reminder per meeting, and nothing sends twice.

Who gets reminded

The person who booked, and you, always. Who we remind on a booking link decides whether the reminder also reaches anyone else on the meeting, through Remind the people your booker invites.

That switch governs the reminder only. Everyone on a meeting is told when it is booked, moved or cancelled whatever it is set to, so turning it off does not leave anybody in the dark about the meeting existing.

What your client can do from the email

The confirmation and the reminder both carry Move this meeting and Cancel this meeting as links, with the plain web address underneath in case their email program strips links. Neither needs an account.

That is deliberately the only route, so a client who cannot find the email should search their inbox for Confirmed: and the name of the meeting.

What you can do from yours

Your copy carries Open in Cecur Book, which takes you to the meeting in your diary, where you can move or cancel it yourself. See Your diary.

If your client says nothing arrived

The usual three, in order: the junk folder, the address they typed on the booking form, and whether the meeting is actually in your diary. Open Schedule and check the meeting is there. If it is, the booking worked and the email is the only thing in question, so send them the details yourself while they look.
