Roles and what each one can do

Owner, admin and member, and how to decide which someone needs.

There are three: owner, administrator and team member. In the product a person is simply an administrator or not, with the owner as a fixed point above both. You can see and change all of it on Settings › People, which needs an owner or an administrator.

Role is only half the answer, though. What somebody can do and what somebody can see are set separately, and there is a third question on the same screen: what they can use.

The three roles

Owner. Holds the account and always has full access. The owner cannot be removed and their role cannot be changed from inside CecurSign, and nobody can be promoted to owner here: which account is the owner is decided centrally, alongside your billing. If ownership genuinely needs to move, that is a Cecur Home change.

Administrator. Everything a team member can do, plus configuring the company: managing people and departments, company details, branding, proposal pricing and defaults, webhooks, API keys, and starting a plan change. Administrators always see all of the company's work, so ticking Administrator for someone who was restricted to one department widens them. The screen warns you at the moment you tick it, and unticking restores what they had.

Team member. The ordinary working role: create and send envelopes, which is CecurSign's word for a document sent for signature together with everyone acting on it, plus templates, contacts, folders, and proposals where they have been given them. The only Settings a team member has are the ones about themselves.

You cannot change your own role. If everyone could, the last administrator could lock the company out of its own settings.

What they can see

The Can see column on the People screen answers "who can open what". The options are stated as consequences rather than as jargon, using your own department names:

  • Everything in the company. Every envelope, proposal and document, and every fee on them.
  • Some departments only. The departments you tick, plus anything filed company-wide.
  • Only their own work. What that person created, and nothing else.

Administrators are always the first of those, whatever is stored underneath.

Most companies never meet this at all: if you have never created a second department, everyone sees everything and the question does not arise. See Departments and who can see what.

What they can use

Some parts of CecurSign are handed out per person rather than to everyone at once. The Can use column carries them, and today it holds Proposals & engagement letters, which also covers setting fees on proposals and on the service catalogue.

Two things have to line up for it to work: your plan has to include proposals, and the person has to be ticked. If your plan does not include them, the tick is greyed out with a note saying so, rather than being hidden as though the feature did not exist.

This is separate from role on purpose. An administrator does not automatically get proposals, and a team member can have them.

Choosing which somebody needs

Start at team member. Add Administrator only for the people who genuinely configure the company, because it also gives them sight of everyone's work and its fees, which in a company with departments is usually the bigger decision of the two.
