Sending the same document to many people
Send one template to a list of recipients from a spreadsheet.

Bulk send takes one template and a list of people and creates a separate envelope for each of them, up to 500 in a run. An envelope is the bundle that goes out for signature: the documents, the people and the fields. Everyone gets their own document, their own link and their own signed copy, so nobody sees anyone else's. Bulk send is included on the Professional plan and above, and Bulk send appears in the sidebar when your plan includes it.
Setting up a run
Open Bulk send and press New bulk send. The screen is headed Create a bulk send.
Batch setup wants a Batch name, which is how you will find the run afterwards, and a Template. If you have no templates yet, start with Creating a template.
Roles appears when the template has more than one role, and it decides how each is filled on every envelope in the batch:
- Recipients from CSV / list is the role your list fills. Exactly one role takes this.
- Fixed person (same on every envelope) takes an email address and an optional name, used on every envelope in the run. Use it for the person on your side who signs all of them.
- I sign this myself applies your default signature automatically, with no email to you.
Adding the people
The Recipients panel counts as you go, out of 500. Three routes in:
- Choose from clients opens your client book so you can tick people. See The contact book.
- Upload CSV takes a spreadsheet exported to CSV. It needs an
emailcolumn, and an optionalnamecolumn. Nothing else is read, so extra columns do no harm. - The Email address and Name (optional) boxes with Add put someone in one at a time.
Duplicate addresses are refused as you add them, because two envelopes to one person is almost never what a batch is for.
Before you press send
The button names the number, reading Send to 40 Recipients for a list of forty. Where your plan sets an envelope allowance, a line above it tells you what the run will cost against the period's allowance and what happens if the list is longer than what is left. Read that line when it is there. It is the one place the arithmetic is done for you.
Send a run of one to yourself first when a template is new. It is the only way to see the email, the subject and the field positions exactly as a client will.
Watching it run
The list shows each batch with its status and a Progress column reading how many of the total have been sent, with any failures counted beside it. Open a run to see every recipient, their status, and a View Envelope link through to the envelope created for them. From there each one behaves like any other envelope: reminders, voiding, the signed document and its certificate.
Cancel batch stops a run that is still going. Envelopes already sent are unaffected, because they are real envelopes now.
If a run stops early
A run that meets your allowance for the period stops rather than half sending. The batch page then carries a panel headed This run did not finish, saying how many went out and that the recipients still marked pending were never attempted. Nobody is sent a partial document and nobody is sent one twice.
When you have the allowance, start a new batch for the people who were not reached. The recipient list on the finished run tells you exactly who they are.
