The contact book
Save the people you send to, so you stop retyping addresses.
Last updated
Your contact book is the Clients screen in the sidebar. Save someone once and they are offered to you every time you address an envelope, a proposal or a bulk send, so you stop retyping addresses and stop sending contracts to a misspelt one. An envelope is the bundle you send for signature: the documents, the people and the fields.
Adding people
Add client opens a short form. Email is the only required field. Name, Company, Phone, Address and Notes are there when you want them, along with Categories for grouping and Add to favorites for the handful you send to constantly.
To bring in a list you already have, Import CSV takes a spreadsheet saved as CSV. It needs an email column, and will also read name, phone, company, address, notes, categories and a favourite column. If you are starting from nothing, Download template gives you a file with the columns already named, ready to fill in and send back. Before anything is imported you get a preview showing which rows would be added and which would update someone already there.
The two tabs
Clients is the book you curate. Recent recipients is everyone you have actually sent to, whether or not you saved them, which is where to look when you remember sending something to somebody and cannot remember their address. Save as Contact on any row promotes them into the book proper.
Finding somebody
The search box matches name, email and company. Beside it, Filter by category narrows to a group you defined, Favourites shows only the starred, and Group clients switches between listing people individually and grouping them under their company.
Where we stand on each row summarises the state of your engagement with that client, computed from the proposals and envelopes on record rather than from anything you have to keep updated. Filter by engagement narrows the list to a state such as Live engagement, Ending soon or Out of contract.
The client's own page
Click a name and you get their details plus their history: their proposals, their envelopes and their documents. Envelope History is matched by email address, so anything a client signed from a different address appears under that address instead. Send envelope starts a new one already addressed to them, and Edit details corrects the record.
Removing somebody
Delete client removes people with no history. Anyone who has been sent a proposal or an envelope is archived instead, and the confirmation says so before you commit. Archiving takes them out of the list and out of recipient suggestions while leaving their history readable, which is what you want when a client leaves and a query about an old engagement letter arrives two years later.
Show archived brings them back into view, and Restore contact puts one back in the book.
Who can see what
Contacts are shared across your company, so a colleague picking a recipient sees the same names you do. What hangs off a contact is not necessarily shared: where your company uses departments, the proposals, envelopes and history shown on a client's page are limited to what that person is allowed to see, and so are the counts above them. See Departments and who can see what.
