Saving an envelope as a template
Keep the documents, roles and field positions of an envelope you have built, so the next one starts there.
Last updated
Once you have built an envelope and placed its fields, you can keep that work as a template so the next one starts where this one finished. The template holds the documents in order, the recipients as roles, every field exactly where you put it, the signing order and the covering message.
An envelope is the document you sent for signature, together with everyone who has to act on it. A template is the reusable shape of one.
From the review step
On the last step of the envelope wizard, above Send, tick Also save this as a template and give it a name. The name is pre-filled with the envelope's subject. Press Send as normal: the envelope goes out and the template is saved in the same action, and a message confirms both.
The tick-box is not shown when the envelope was itself started from a template, because the template already exists.
From an envelope you have already sent
Open the envelope from Envelopes and choose Save as template from the menu at the end of its action bar. Name it and press Save template. You land on the new template, where you can adjust the roles or the fields before you next send from it.
This works on a draft, an envelope still out for signature, and a finished one. It is usually done on a finished one, because that is when you know the placements were right.
What is kept, and what is not
- Kept: the documents in the order they were sent, the field positions and their settings, the signing order, and the covering message as the template's default message.
- Turned into roles: each recipient becomes a role, numbered in order (Signer 1, Viewer 1, Signer 2). Where you signed the envelope yourself, that role is marked to sign itself the same way.
- Not kept: recipients' names and email addresses, and the expiry date. A template is a slot for the next client, so the last client's details stay on the envelope they belong to.
- Not kept: supporting documents sent alongside the envelope. A template carries a document pack instead; attach one on the template afterwards if you want the same material to go with every send. See Reusable document packs.
An envelope created when a client accepted a proposal cannot be saved as a signing template. Its letter belongs to the proposal; use a proposal template for those.
Sending from it afterwards
See Sending from a template. Start from the template inside the envelope wizard when the next envelope will differ even slightly, or use Use template on the Templates screen when only the people change.
