What goes out, and in what order
The Key Information Document first, then agreement to the terms, then the work.
The Key Information Document
Required of UK agencies, and given to the work-seeker before you obtain their agreement to the terms. It sets out the contract type, who pays, the rate, pay intervals, deductions, fees, holiday, and a worked example running gross to net.
Terms with the work-seeker
The terms a work-seeker agrees to before you first find them work, recorded in a single document wherever possible. Your terms of business with the hirer are a separate document and go the same way.
The starter pack
Assignment details or the contract for services, the handbook acknowledgement, the working-time opt-out, the pension notice. One template holding every document in the pack, out to this week’s starters from a spreadsheet.
Whoever you place, the week is the same shape
The same pack, many people, short notice, and an audit at the end. What changes between sectors is what is in the pack, and the pack is yours to build.
Healthcare and care
The most paperwork per placement in the sector. The declarations, consents and policy acknowledgements that sit around the checks you run all travel in the pack, and the record shows each one going out, being opened and coming back signed, per worker.

Hospitality and events

Where the pack sits alongside your checks
Everything in a placement that gets signed sits here, including the declarations and consents that sit around your checks; the product does not receive documents from candidates, so there is no passport scan, no certificate and no upload of any kind. Right-to-work, registration and DBS checks happen wherever they happen today, and what sits here is the paperwork around them: the part that has to be signed, dated and produced later.
What you have to be able to show
The duty is to obtain the work-seeker’s agreement to the terms, record those terms in a single document where possible, and give them a copy before any work starts. What an auditor needs from you is not a signature graphic. It is that the document went, that it reached the right person, that agreement was given, and what the terms said at the time. That is a description of an audit trail, and a completed pack here produces one.
A record per work-seeker
Sent, opened, signed, declined: each event hashed and linked to the one before it, with the time, the IP address and the browser inside the protected record. If anything is altered, re-checking the chain names the point where it broke.
A certificate per pack
Produced automatically when the pack completes, listing every signature with its time, actor and IP address, a fingerprint of each document, and a QR code for independent checking. A multi-document pack completes as one record, so it is one certificate rather than five.
Checkable by someone else
An auditor or a hirer can verify a completed document without an account and without coming through you. It confirms the document, the signers and that the chain is intact, without disclosing what the document said.
