I cannot find an envelope I know exists
Filters, folders, departments and archive, and where things hide.
Last updated
Start with the filters. A status, client, folder or source filter still set from a moment ago is by far the commonest reason a row you know exists is not on screen, and it is easy to miss because the list looks perfectly ordinary without it. If any filter is active, a Clear filters link appears beside the controls. Press it and look again.
An envelope is the document you sent out for signature, together with the people asked to sign it.
The four filters, and what they hide
Along the top of Envelopes:
- All statuses. If this reads anything else, or if you clicked one of the tiles above the table, only that group is listed. The tiles narrow the same thing the dropdown does.
- The client picker. Set to a person, the list shows only envelopes involving them.
- Sent as envelopes, which is the default, shows what you composed and sent yourself. Two kinds of envelope are kept out of it until you ask: the signature behind an accepted proposal (choose Signed via a proposal, or open it from the proposal itself) and a document you signed alone on the Self sign screen (choose Signed by me). Everything shows all three at once.
- All folders. Set to a folder, everything filed elsewhere disappears. Unfiled shows only what is in no folder at all.
Search by subject or recipient
The box reading Search by subject or recipient... matches the envelope's subject line and the people on it, which means you can find a document by the client's name without remembering what you called it.
There is also a search box in the top bar of every screen, which you can open with Ctrl+K, or Cmd+K on a Mac. It reaches across envelopes, documents, templates and clients at once, which is the better tool when you are not sure which of them the thing you want actually is.
It may never have been sent
An envelope with the status Draft exists, but no recipient has ever seen it. If you are looking for something a client says they have not received, check the Drafts tile first: a document prepared on Friday and not sent is much more common than a lost email.
Drafts also do not appear when the status filter is set to anything else, which is the two causes compounding.
Departments
If your company uses departments, what each person can see is set separately from what they can do. Under Settings, then People, each person is set to see Everything in the company, Some departments only, or Only their own work.
An envelope belonging to a department you are not in does not appear anywhere for you: not in the list, not in search, and not by its web address. Nothing is wrong and nothing has been deleted. If you should be able to see it, ask an administrator at your company to check your access on that screen. See Departments and who can see what.
Looking for a file rather than an envelope
Documents is the library of files you have added, which is a different list from the envelopes you have sent them in. A file that has been tidied away there is hidden until you tick Show archived, and archived files carry an Archived badge once you do.
If it was voided or has expired
A withdrawn envelope keeps its place in the list with the status Voided, and one whose deadline passed shows Expired. Neither is removed, so both are found by setting the status filter to them. That is the point: what happened to a document is part of its record.
