Inviting colleagues
Add someone to your account, and what they can do once they arrive.
Last updated
Go to Settings › People and press Invite person. You need to be an owner or an administrator to see that screen. Everything you set in the dialog is applied at the moment they accept, so a new colleague never sees more of the company than you intended, even briefly.
What the invitation asks for
Invite someone has five parts, and only the first is required.
- Email. The address the invitation is sent to, and the one they will sign in with.
- First name and Last name, both optional. They can fill these in themselves.
- Role. Two choices. Team member sends documents and uses what you allow below, but cannot change company settings or manage people. Administrator does all of that plus configuring the company and managing people, and always sees all of the company's work.
- They will see. Where your company uses departments, this is where you decide whether they see everything, only the departments you tick, or only what they create themselves. The dialog spells out the consequence in your own department names as you choose.
- They can use. Capabilities you hand out separately from the role. Proposals & engagement letters is the one that appears here, and it is greyed out with a reason if your plan does not include it.
Send invite sends it. Everything above can be changed afterwards from the person's own panel on the People screen.
Where the invitation actually comes from
CecurSign does not create sign-ins of its own. Identity for every Cecur product is held centrally, so inviting a colleague creates their Cecur account as well as their place in your CecurSign company. In practice that means:
- They set a password once, centrally, and use it for CecurSign and anything else in the group they are given.
- If they already have a Cecur account, they keep it. Invite the address they already use, not a new one.
- The invitation is checked against the number of people your plan includes before it is sent.
What your colleague sees
The invitation email carries a link. It opens on a page reading Join and your company name, asks for their first and last name, and finishes with Create my account. No password is asked for there, because they will already have set one from the account email.
After that they sign in from the ordinary sign-in screen like everyone else.
Chasing and cancelling
Pending invitations sit in the same table as everyone else, marked Invitation pending, showing the access queued up for them. Each row offers Resend invitation, which sends a fresh link, and Revoke, which cancels it so the original link stops working.
Two things that go wrong
"I already use another Cecur product but CecurSign says I have no account." Their sign-in is working and there is simply no CecurSign user attached to it. Check the People screen: if they are not listed, invite them; if they are listed under a different address, ask them to sign in with that one.
"You've reached your team member limit", followed by the figures. Your plan includes a set number of people, and pending invitations count towards it. Settings › Billing & plan shows the figure under Team members, and buying more seats is done through Cecur Home. See Upgrading, downgrading and cancelling.
Taking someone off
Open their panel from the People screen and choose Remove from company. Their documents and proposals stay exactly where they are; only their access goes. The owner cannot be removed here, and nobody can remove themselves.
