Specimen document. United Kingdom and Ireland.

Onboarding pack contents, for a staffing or recruitment agency.

Not one document but a list: what goes in a starter pack, and which items are signed rather than only read.

Read this first

This shows structure, not wording. It was not drafted or reviewed by a lawyer, using it does not satisfy any obligation you have, and where your professional body publishes model wording, theirs is better than ours and you should use it.

This is not the content of any of these documents, and it is deliberately not a specimen of a Key Information Document, whose required content is set by law rather than by us. It is also not a document collection list: nothing in this product can receive a file from the person you send the pack to, so anything that has to come back from them happens elsewhere.

Signed by: The work-seeker signs the items marked for signature. Nobody signs the items marked to be read, and the pack does not ask them to.

Onboarding pack contents

For a staffing or recruitment agency. United Kingdom and Ireland.

Terms with the work-seeker

Signed

The agreement between the agency and the person being placed. This is the item the pack exists to get agreed, and it is the one that has to carry a signature and a date that can be produced afterwards.

Assignment details

Signed

The specific placement: the hirer, the role, the rate, the hours and the start date. Signed, because it is the part that changes between placements and the part a dispute is usually about.

Key information for the work-seeker

Signed

The information a work-seeker must be given before an assignment, in the form your jurisdiction requires. Whether it is signed or given is a question for your own compliance advice, and this pack can carry it either way.

Your privacy notice

Read, not signed

How you handle the person’s data and on what basis. Nobody signs a privacy notice, and a signed file that claims they did is worse than no record at all. Sent as supporting material, with a record of the fact that they opened it.

Working time and holiday information

Read, not signed

How holiday accrues, how it is taken and how it is paid. Read rather than signed, and the read is worth recording, because "they were never told" is the sentence this item exists to answer.

Health, safety and site information

Read, not signed

What the hirer requires on site, and who to contact. Read rather than signed. Where a hirer requires a signed acknowledgement, move it to the signed side of the pack rather than assuming a recorded open will do.

How to raise a problem

Read, not signed

Who at the agency to contact, and what happens next. Short, read rather than signed, and the item most often left out of a pack that is otherwise complete.

Signed by

The work-seeker signs the items marked for signature. Nobody signs the items marked to be read, and the pack does not ask them to.

Where this shape comes from

Written from the shape of a placement starter pack, and from the distinction the product itself enforces: a document in the envelope is merged into the signed file and named on the certificate, and a supporting document is read and never signed. Getting an item on the wrong side of that line is the mistake this specimen exists to prevent.
